All participants are required to complete the official online registration to gain access to the conference sessions, workshops, networking events, and all other conference-related activities. Registration is confirmed upon successful payment.

Note: Fees cover both conference days, including plenary sessions, panels, workshops, coffee breaks, lunches, and access to networking events. Proof of status may be required during check-in (e.g., student ID or institutional affiliation).

Participant Categories

  • Academic Delegate: Faculty, researchers, or representatives of academic institutions, research bodies, or governmental/non-profit organizations.
  • Student: Undergraduate, master’s, or Ph.D. candidates. Must present a valid student ID.
  • Company Representative: Participants from private sector, tech firms, medical industries, and other for-profit enterprises.
  • Accompanying Person: Guests not attending sessions but joining for meals, receptions, or cultural events.

Visa Invitation Letters

  • Courier delivery available (shipping fees apply)
  • Visa processing may take several weeks – apply early
  • Please consult your local Hungarian embassy for full requirements

Code of Conduct

We are committed to providing a safe, inclusive, and respectful environment for all attendees. Harassment, discrimination, or disruptive behavior of any kind will not be tolerated.

  • Maintain professionalism in speech, appearance, and behavior
  • Refrain from offensive language or inappropriate conduct
  • Respect personal boundaries and consent in all interactions
  • Report any misconduct to a member of the organizing team

Violation of these guidelines may result in removal from the event without refund.

Cancellation & Substitution Policy

  • Substitutions: Allowed up to 7 days prior by notifying the organizers
  • 90+ days before: 50% refund (50% admin fee applies)
  • Less than 90 days: No refunds available
  • No-shows: No refund
  • Emergency cases: Reviewed individually with documentation
  • Organizer cancellation: Transfer to future event or partial refund

Admissions Policy

  • Only registered participants are allowed entry
  • Badges must be worn at all times
  • Lost/misused badges may lead to denied access
  • Media access is subject to approval
